Passwords

  • Unique password per person.

  • Change temporary onboarding passwords immediately.

  • Prefer password manager storage over shared notes.

Access hygiene

  • One seat per person — no shared CRM logins.

  • Admins only create users and reset others’ passwords.

  • Deactivate leavers the same day they leave the desk.

  • Sign out on shared or personal devices you do not control.

Mailbox secrets

IMAP/SMTP credentials in Settings → Email are as sensitive as login passwords. Limit who is admin. Rotate app passwords when people with admin access leave.

Suspicious activity

Unexpected emails sent from the Outbox, unknown new users, or login anomalies → deactivate unknown users, rotate mailbox secrets, reset passwords, and contact Talenkai support for your deployment if you suspect a broader incident.

Contractors

Give employee portal access only, linked to their candidate — not a full recruiter seat.
