Review queue: AI drafts, you approve

Talenkai can draft outbound emails (first contact, client presentation, offer, etc.). By default those messages go to the Outbox / review queue so a human sends them — AI drafts, you approve.

Happy path

  1. Open a match (or candidate / free-email action).

  2. Choose the email type / template.

  3. Generate or open the draft (language follows the contact when possible).

  4. Edit subject and body if needed.

  5. Confirm recipient.

  6. Submit — with default Queue mode, the item appears in the Outbox as pending.

  7. In the Outbox, review, optionally edit again, then Send (SMTP).

Why approval exists

Boutique desks cannot afford wrong rates, wrong client names, or premature offers. The queue is the control point. You can switch some email types to Direct send in Settings (see Email templates and send modes), but keep sensitive types on Queue.

States you will see

  • Pending / to review — waiting for a person.

  • Reviewed / ready — prepared after a failed direct attempt or after review steps.

  • Sent — SMTP accepted the message.

  • Failed sends stay recoverable in the queue; fix SMTP or the message and retry.

Signatures

The closing and signer come from the user’s email signature, not from the template body. Set the signature on the user profile so every approved send looks like your desk.
